Pick up

My ScanTeam offers a contactless pick up. We can set up a drop off or pick up station, enter through an designated entrance, or simply move the boxes to your lobby right before the schedule pick up time. Our team members take the necessary precautions by wearing mask, gloves and maintain social distancing. We will count and verify the total amount of boxes with you. Service order will be provided with scanning project details.
Boxes will be delivered to My ScanTeam Facility, palletized, shrink wrap and staged for production.

Preparation

My ScanTeam Supervisor reviews the service order and assigns project to team members.
Prep Team will remove document from binding/folders and removing all staples, sticky notes, paperclips and all fasteners from paperwork.
Barcode separator sheets are inserted between each file.

Documents are scanned utilizing High Speed Production Scanners with Image Capture Plus Technology which runs each page through an image enhancement process. This will return top quality scans, adjusting each image for the best readability.
Double sided documents are detected and scanned.
Blank images and barcode separator sheets are removed.
My ScanTeam members view each image as its scanned to ensure quality and re-scans poor quality images before finalized and saved.
High Speed Scanners are cleaned and maintained daily.

Documents/Files are manually indexed as described on service order; such as Filename, Chart Number, Address, etc.

Electronic files are converted to PDF format.
OCR (optical character recognition) is provided to all images scanned.
File list is generated and saved with the electronic files onto a Flash Drive or Online (customers cloud account or ours).

Invoice is sent to customer
Electronic files are delivered.
Original documents staged for shredding 30 days after receipt of electronic files.
Electronic files are moved to temporary back up, then deleted from our servers.
